Ashes & Diamonds is seeking an exceptionally organized, hospitality-driven Guest Experience Curator to serve as the connective tissue between our guests, membership, events programming, and weekend guest experience. This role is ideal for someone who is equally comfortable behind a computer managing logistics as they are standing at the front door welcoming guests.

Tuesday through Thursday are dedicated to administrative coordination, concierge communications, reservations, and event planning. Friday and Saturday, the position transitions into the role of Maître d', overseeing guest flow, arrivals, seating, and ensuring every visitor experiences the thoughtful hospitality that defines Ashes & Diamonds.

This is a highly visible role requiring impeccable organization, warmth, attention to detail, and the ability to anticipate guest needs before they arise.

Primary Responsibilities

Tuesday–Thursday: Concierge & Administrative Operations (Approximately 60%)
Concierge
•  Respond promptly to guest inquiries via email and phone.
•  Manage reservations through Tock and internal systems.
•  Coordinate VIP visits and member experiences.
•  Confirm reservations and special requests.
•  Assist with large party bookings.
•  Coordinate transportation, local recommendations, and concierge requests.
•  Serve as the primary point of communication between guests and hospitality staff.

Events
•  Coordinate winery events from planning through execution.
•  Manage event timelines and production schedules.
•  Coordinate outside vendors, including florists, musicians, photographers, rental companies, and caterers.
•  Track RSVPs and guest lists.
•  Assist with event budgeting and purchasing.
•  Prepare event materials, including seating charts, menus, signage, and printed collateral.
•  Ensure all departments are aligned prior to each event.

Administrative
•  Maintain hospitality calendars.
•  Update SOPs and hospitality documentation.
•  Assist with inventory ordering for hospitality supplies.
•  Prepare weekly operational reports.
•  Coordinate internal meetings.
•  Maintain guest notes and CRM records.
•  Support the Hospitality Manager with special projects.

Friday–Saturday: Maître d' & Guest Experience (Approximately 40%)
Serve as the face of Ashes & Diamonds during our busiest hospitality days.

Responsibilities include:
•  Welcome every guest upon arrival.
•  Manage all reservations and seating assignments.
•  Oversee guest flow throughout the property.
•  Coordinate with hosts and service staff to ensure timely seating.
•  Ensure VIP members receive personalized recognition.
•  Resolve guest issues with professionalism and urgency.
•  Maintain communication among tasting rooms, the kitchen, and the hospitality team.
•  Monitor pacing to ensure exceptional service standards.
•  Assist with private experiences and winery events.
•  Maintain a polished front-of-house presence at all times.

Qualifications
•  2–4 years in luxury hospitality, restaurants, hotels, wineries, or private clubs.
•  Strong organizational and multitasking abilities.
•  Exceptional verbal and written communication skills.
•  Professional, polished, and welcoming demeanor.
•  Experience with reservation systems (Tock preferred).
•  Comfortable working in a fast-paced luxury environment.
•  Ability to anticipate guest needs.
•  Flexible and solution-oriented mindset.
•  Ability to stand for extended periods on Fridays and Saturdays.
•  Weekend availability is required.
